Ember 30A Policies & Guest Terms
We want your Ember 30A experience to be easy, enjoyable, and stress-free. Please review the following policies before booking. By completing your reservation, you acknowledge and agree to these terms.
Deposits & Payment Schedule
A non-refundable $200 reservation deposit is required to secure your reservation.
This deposit is applied toward your total reservation cost and includes the cost of one beach bonfire permit.
The remaining balance is due 14 days before your scheduled event date.
If the remaining balance is not paid by the due date, Ember 30A reserves the right to cancel the reservation and retain the $200 deposit.
Cancellations
Cancellation and modification requests must be submitted directly to Ember 30A. The date your request is received will determine which cancellation terms apply. All cancellation and modification requests are subject to availability, preparation costs, permit requirements, and the deadlines below.
-
More than 14 days before your event: You may cancel your reservation and receive a refund of the remaining balance, less the non-refundable $200 deposit, any non-refundable permit fees, and applicable transaction fees. Approved modifications that reduce the reservation total, such as removing an add-on or reducing the number of chairs, may be eligible for a refund of the difference, less applicable transaction fees.
-
14 days or less before your event: All amounts paid become non-refundable. Modifications that reduce the reservation total, including removing add-ons or reducing the number of chairs, are not eligible for a refund.
Any approved modification must be confirmed by Ember 30A before the event. Adding services or increasing the number of chairs may be possible before the event, subject to availability and applicable fees. Ember 30A cannot guarantee that requested changes can be accommodated.
Because permits and event preparation are secured in advance, we cannot provide refunds for unused services, late arrivals, or guests who do not attend.
Rescheduling
Requests to move an existing reservation to a different date are handled based on permit availability, staffing, and Ember 30A's event calendar.
A $175 rescheduling fee applies to approved date changes made after the original beach permit has been obtained.
Rescheduled dates are subject to:
-
Ember 30A availability
-
County permit availability
-
Applicable beach regulations
A new date cannot be guaranteed until it has been confirmed by Ember 30A.
Rescheduling does not reset the cancellation period. Your reservation remains subject to the cancellation policy based on the original event date unless otherwise agreed upon by Ember 30A.
Weather & Unsafe Conditions
Your safety and compliance with county regulations are our highest priorities.
Ember 30A may need to reschedule or cancel an event due to unsafe conditions, including but not limited to:
-
High winds
-
Fire restrictions or burn bans
-
Unsafe beach conditions
-
County restrictions
-
Protected wildlife or nesting areas
-
Emergency orders
If Ember 30A determines that an event cannot safely or legally take place, we will make reasonable efforts to reschedule the reservation. If a suitable replacement date cannot be secured, Ember 30A will determine any applicable refund based on amounts that can be recovered from permits and other non-refundable costs.
Ember 30A will make reasonable efforts to comply with applicable county regulations and permitting requirements, but cannot guarantee that a bonfire will be permitted or able to take place under all conditions.
Beach Permits
All bonfires are subject to county approval, permitting requirements, and applicable Walton County regulations.
Your package includes the cost of one beach bonfire permit, unless otherwise stated in your reservation.
County-issued permits are specific to the approved reservation date and location. Changes to either may require a new permit and are subject to county approval and availability.
Permits are typically obtained approximately two weeks before the scheduled event in accordance with county permitting requirements and availability.
If a permit cannot be issued, is canceled, or becomes unavailable due to county regulations, weather conditions, environmental concerns, or emergency orders, Ember 30A may need to reschedule or cancel the event.
